Privacy Policy

Last Updated: June 29, 2024

This Privacy Policy (the “Policy”) covers the information we collect about you when you use our products or services, including all of our SaaS/Cloud software products and our downloadable software products (collectively, the “Apps”) and all public websites (“Website(s)”) provided and/or maintained by Bliss Media Studio d/b/a as www.ontaskworklogger.com (collectively, “Ontask Work Logger,” “OWL,” “we,” “us,” and “our”), or otherwise interact with us (for example, by contacting us through email, the support portal or applying for a job). We refer to all of these products, Apps, and Websites, together with our other services as “Services” in this Policy. Depending on the context, “You” means the end-user of our products or the legal entity that is the licensee of our products, or the visitor of our public websites.

We may change this Privacy Policy from time to time. If we make changes, we will notify you by revising the date at the top of this policy and, in some cases, we may provide you with additional notice (such as adding a statement to our website or sending you a notification). We encourage you to review this Privacy Policy regularly to stay informed about our information practices and the choices available to you. If you do not agree with this policy, do not access or use our Services or interact with any other aspect of our business.

Notice to End Users

Our Services are primarily for organizational use and through Jira. If you access them through your employer, they control access and policies. Contact your administrator for data privacy queries. Admins can limit your editing rights and information management within Jira and OWL. Admins can restrict access to the Services and control the ability to edit, modify, or delete data created by you and access, modify, and remove the information.

The Information We Collect

When you use the OWL platform, we collect the information you provide, usage details, and device data. We also gather information from third-party services and optional programs you participate in, which we may combine with existing data. When you contact us via email or through the Jira Service Desk, we collect your name, email address, and any additional information you provide. Data entered into any form on our Services is used only for the stated purposes or as described in this Privacy Policy.

When using the OWL desktop application, we may collect data such as screenshots, applications being used, visited web URLs, active times, operating system details, presence of input devices like monitors, mouse activity, project or task names, time spent on tasks, browser version, and keyboard activity. Users can exclude specific data before submission.

Note: OWL is not a keylogging program and does not capture the content you type. It only records whether your keyboard is active. Screenshots are uploaded directly to client-configured storage using SSL over HTTPS (port 443), bypassing our servers. Keystrokes are not uploaded or stored. We upload the total seconds of “activity” and “work” within a time block to Jira task work log using SSL (port 443).

When you visit our website, we may collect and process your personal data such as device and browser information, IP address, and data from cookies. If you subscribe to our blog or newsletter, we will use your email address to send you updates. You can unsubscribe at any time.

When using our Services, we may process certain information about you that is necessary for our Services to work together with host products such as Jira from Atlassian. This information includes user names, assigned tasks, account authentication, and other Jira-related task information. OWL receives this user information to provide a seamless integration experience. We do not transfer or store PII data on our servers. Some of our Services read user display names from Jira and display them on issue or app pages when a list of issues is generated (issue table), a list of users is generated, data is exported to CSV or XLS, or the “user mention” feature is used (for example, in issue comments).

How We Use Your Personal Information

We use your personal information to enhance your platform experience, verify identity, manage account settings, process payments, and communicate with you. We collect feedback, offer additional services with third parties, and share work activity details. For security, we authenticate users, prevent fraud, remove unsafe users, investigate issues, provide support and improve operations. Your information helps us research new features and products, resolve bugs and enhance security practices. Additionally, we meet legal obligations and regulatory requirements using this data.

How We Share Your Information

We do not sell your personal information. To make the OWL Platform work, we may need to share your personal information with other users, third parties, and service providers.

Your company and managers will have access to the screen captures and activity logs submitted by OWL users. This information is accessible to the company admin, designated managers, and the users themselves. Website and application monitoring is active for all users of the system when they are actively tracking time. Screenshot monitoring can be individually activated or deactivated by your company admin for all or some members of your team.

Depending on if you are an admin or user, OWL may share personal identifiers (e.g., name, address, email address, and phone number), financial information (e.g., bank routing numbers, tax information, and any other payment information you provide us), commercial information (e.g., feedback and transaction history), and internet or other electronic network activity information (e.g., IP address, type of browser, version of operating system, carrier and/or manufacturer, device identifiers, and mobile advertising identifiers).

We may share your personal information in response to legal obligations or if necessary to comply with laws, regulations, investigations, court orders, law enforcement requests, or to protect against harm as permitted by law.

We may share your personal information while negotiating or in relation to a change of corporate control such as a restructuring, merger, or sale of our assets.

With your permission or upon your direction, we may disclose your personal information to interact with a third party or for other purposes.

How We Store and Protect Your Personal Information

We retain your information for as long as necessary to provide you and our other users on the OWL Platform. This means we keep your profile information for as long as you maintain an account. We retain transactional information for at least seven years to ensure we can perform legitimate business functions, such as accounting for tax obligations. If you request account deletion, we will delete your information as set forth in the “Deleting Your Account” section below.

We take reasonable and appropriate measures designed to protect your personal information. These include encrypted data transfer (HTTPS), email verification, a strong password management policy, internal system logging, network and overall infrastructure security, physical security, and two-factor authentication (2FA).

Your Rights and Choices Regarding Your Data

OWL provides ways for you to access and delete your personal information as well as exercise other data rights that give you certain control over your personal information.

You can always unsubscribe from our commercial or promotional emails by clicking unsubscribe in those messages. We will still send you transactional and relational emails about your use of the OWL Platform. You can opt out of receiving push notifications through your device settings. Please note that opting out of receiving push notifications may impact your use of the Platform. “Do Not Track” is a privacy preference you can set in your browser if you do not want online services to collect and share certain kinds of information about your online activity from third-party tracking services. If you would like to delete your OWL account, please speak with your company administrator for Jira.

You can request certain information about our disclosure of personal information to third parties for their own direct marketing purposes during the preceding calendar year. This request is free and may be made once a year. You also have the right not to be discriminated against for exercising any of the rights listed above.

We aim to respond to a consumer request for access or deletion within 30 days of receiving that request. If we require more time, we will inform you of the reason and extension period in writing. To request access to or deletion of your personal information, or to exercise any other data rights under California law, contact us via email at privacy@ontaskworklogger.com.
